Switching Payroll Providers: Plan the Handover

A provider change should start with a clear handover plan. Tell us your current schedule, approximate team size, employee work states and intended change date so we can review the payroll processing requirements.

Review the current arrangement before ending it

Check the agreement with your existing provider for notice periods, access to records, export options and any final processing or year-end responsibilities. Do not cancel the current service or remove access before the handover has been reviewed and the next arrangement is ready.

Map the records and open tasks

Prepare a list of the records and outstanding tasks that need to move or be reconciled. Opening balances, current-year information, payroll schedules and unresolved corrections may affect the transition. Do not upload exports, employee records or tax documents to this public site; agree the onboarding and transfer process first.

Agree who owns each part of the transition

Confirm who supplies records, reviews balances, approves the first run and handles outstanding questions from the previous arrangement. Discuss the supported requirements, fees and scope with PayrollRite. Tax filings, deposits, integrations and other specific services are included only if separately confirmed.

Choose a realistic first-run date

Discuss the proposed change date alongside record availability, review time and the existing pay schedule. Compare the first run with the agreed records and retain access to relevant historical reports. Employers generally retain federal employment tax responsibilities when outsourcing payroll, so keep oversight of the agreed work.

Common questions

Can I discuss a mid-year switch?

You can enquire about your proposed timing. The feasibility and preparation needed depend on the records, current arrangement and supported requirements.

Should I send my payroll export now?

No. Start with a business-level summary. Any sensitive records must use the separate onboarding process agreed after scope is reviewed.

Is a first pay date guaranteed by submitting the form?

No. A first-run date is agreed only after the scope, records, authorization and onboarding requirements have been reviewed.
